<br />document used at this session. CAPE reviewers should review <br />this guide carefully before attending the training. In <br />addition, Mr. Matulik and Mr. Maywalt will perform CAPEs early <br />in October in two Colorado communities. The work products of <br />these CAPES (letters, forms, reports, etc.) will be used as <br />samples along with the guide during the training. After the <br />training session, access will be provided to FEMA's docket files <br />for all selected communities, to assist in CAPE preparation. <br />Second, Mr. Maywalt will accompany State representatives on <br />their first CAPE visits for additional training on-site. <br /> <br />WORK PRODUCTS <br /> <br />CAPE performance involves the preparation of several work <br />products. During the course of the CAPE (see schedule below), <br />each of the following needs to be prepared and provided to FEMA: <br /> <br />1. Meeting confirmation letters (samples in CAPE Reviewer's <br />Guide). <br /> <br />2. A completed CAPE Reviewer's Form (see blank form <br />attached to CAPE Reviewer's Guide). <br /> <br />3. Final Report to FEMA (samples will be available at <br />training). <br /> <br />4. Follow-up correspondence (samples will be available at <br />training). <br /> <br />5. Any other documentation that can assist FEMA Regional <br />and Central Office staff in better understanding the <br />results of the CAPE. <br /> <br />These documents should be compiled and sent to the Regional <br />Office upon completion of the Final Report. They will be <br />reviewed by the CAPE Coordinator and then forwarded to FEMA's <br />Central Office. <br /> <br />SCHEDULE <br /> <br />When arranging the CAPE-related meetings with the local contact <br />within the community, allow at least two weeks notice and <br />preferably four weeks or more. For the initial CAPEs, which <br />will be performed jointly with the CAPE coordinator, discuss the <br />meeting arrangements with the Coordinator before contacting <br />local representatives. For subsequent meetings, inform the CAPE <br />Coordinator of meeting dates after they are set. Schedule the <br />CAPE by calling the local contact and document the meeting with <br />the confirmation letter. Send a copy of the confirming letter <br />to the Chief Executive Officer and retain one copy to be <br />included in the work product package submitted to FEMA.
