Water Project Construction Program - Project Data Applicant: Colorado Water Conservation Board Project Name: CWCB Imaging Project Project Type: Document Imaging County: Statewide Drainage Basin: Statewide Water Source: N/A Total Study Cost: $520,000 Funding Sources: CWCB Type of Borrower: State Agency Median Household Income: N/A CWCB Investment: $150,000 Interest Rate: N/A Term: N/A This project involves organizing, prepping and electronic imaging of Agency files to make that information easily accessible to staff and the public, and to minimize the amount of office space and manpower required to store paper records. In 1999, (SB99- I 73, Section 8) the General Assembly authorized $270,000 for the CWCB's participation in the Department of Natural Resource's Electronic Document Imaging System. With those funds, the Agency has purchased and installed the necessary hardware and software, contracted for customized programming, and began prepping and scanning approximately 500,000 documents. In 2002, (HB02- I I 52, Section 16) the General Assembly authorized an additional $150,000 to continue the project. Those funds will be used to prep and scan an additional 500,000 documents, buy OCR hardware and software, and to purchase Web programming for Internet access to the imaged documents. It is estimated that an additional 1,500,000 to 2,000,000 documents still need to be inventoried, prepped and scanned. To advance this project, additional funding is hereby requested for the following items (see also attached table): Operations and Maintenance of DNR Imal!:inl!: System As a part ofthe CWCB's participation in DNR's Electronic Document Imaging System (System), the Agency has agreed to contribute funds towards the operations and maintenance of the System. Each agency that uses the System is required to contribute yearly. The CWCB's share is $15,000. Purchase of Computer and Software Upl!:rade The CWCB's Imaging computer and its accompanying software is becoming outdated. The software the Agency uses to do Day Forward scanning is at least one version out of date already. To keep pace with the over all System, both the computer and the software will need to be updated. The estimated cost to upgrade the computer and software is $5,000.
