Upon request, outside audiovisual equipment companies providing services (audio, projection, lighting) <br /> are required to provide proof of insurance to the hotel in advance of set -up for all events. <br /> Set designers, decor companies, and other related service providers must also provide proof of insurance. <br /> The Grand Hyatt Denver maintains its right to deny at its discretion any outside audiovisual company <br /> permission to provide such services at said property should it be deemed in the hotel's best interest. <br /> LIABILITY/SECURITY <br /> Unfortunately, the Hotel cannot be responsible for the safe- keeping of equipment, displays, supplies, written materials or <br /> other valuable item or items left in the meeting rooms, conference areas, etc. Accordingly, you will be responsible to provide <br /> security for such material and hereby assume responsibility for any loss or damage. - _ • _ - • • • y' <br /> All function space is assigned by the Hotel according to the number of persons guaranteed to attend the Group's function. <br /> The Hotel reserves the right to reassign the space listed on the Schedule of Events to accommodate both the Group and all <br /> other groups or parties utilizing the Hotel's facilities during the Group's meeting. The Group agrees to promptly notify the <br /> Hotel of any changes in its function space requirements. Meeting room rental fees and services fees are subject to <br /> appropriate federal, state and local taxes. The State of Colorado is a tax - exempt entity. <br /> THIRD (3lD) PARTY SECURITY CONTRACTOR <br /> Hyatt cannot be responsible for the safekeeping of equipment, supplies, written materials or any other items left in function <br /> rooms by the group or its attendees. Accordingly, the group will be responsible to provide security for any such above - <br /> mentioned items, and hereby assumes responsibility of loss thereof <br /> There are two (2) different options available that can be provided by the hotel. Our engineering department can provide <br /> lockout services, which consists of all meeting room door locks being re-keyed. Hyatt does not assume any liability for the <br /> contents of the room whether you utilize this service or not. This service is not recommended for rooms with movable walls <br /> unless the group is occupying the entire room. <br /> The second option, which offers the most reliability, is to provide a dedicated security guard to secure and monitor the <br /> contents of the room at a separate cost to the group. The Hyatt Catering and Conventions Services Department can provide <br /> assistance in this area by arranging for security services for the group at hourly rates which vary depending upon the time of <br /> day. In most instances, there is a four (4) hour minimum. Please notify us thirty (30) days in advance in order to arrange for <br /> this service. <br /> ROOM DELIVERIES <br /> In -room delivery: $3.50 each <br /> Under door: $2.50 each <br /> Envelopes (over desk): $1.50 each (max 50) <br /> SHIPPING/PACKAGE PROCEDURES <br /> In order to ensure that boxes are delivered to the right person on a timely basis, please instruct the deliverer to ship with the <br /> following information: <br /> Guest Name <br /> Dates of Meeting/Stay <br /> Name of Conference Attending <br /> Sales/Convention Service Manager <br /> Package handling prices are as follows: <br /> $10.00 for each incoming package. $10.00 for each outgoing package. <br /> $200.00 per 100 pounds for each incoming or outgoing pallet. <br /> Packages that arrive more than 7 days prior to programs first arrival date will be charged an additional $10 for individual <br /> packages and $250 per pallet. <br /> Hyatt Agreement 9/10 <br /> Group Contact Initials/Date <br /> Hotel Contact Initials/Date <br />
