Work Task Coordination: The PM shall assign and coordinate all work tasks being <br />accomplished, including those being performed bysub-contractors, to ensure project <br />work is completed on schedule and within budget. <br />Project Team Coordination: The GM and PM shall maintain ongoing communication <br />about the project on a frequent and regular basis. Each shall provide the other with: <br />• Written synopsis of their respective contacts (whether by telephone or in <br />person) with others <br />• Copies of pertinent written communications, including electronic (e-mail) <br />correspondence <br />• Early identification of potential problems or concerns <br />Progress Meetings: The DM and the PM shall meet, either in person or by telephone <br />conference calls, atone-week intervals throughout the project. Additional personnel will <br />be included in these meetings as required. In addition, the PM may be asked to <br />participate in POC meetings to be held at the District's Gunnison office or at Hinsdale <br />County's Lake City office. The DM/PM meetings will be used to update and coordinate <br />the work effort and identify and resolve any outstanding issues or problems. The <br />meetings will focus on: <br />• Activities completed since the last meeting <br />• Problems encountered or anticipated <br />• Late activities/activities slipping behind schedule <br />• Solutions for unresolved or newly identified problems <br />• Schedule of upcoming activities <br />• Deliverables <br />• Information on items required from the Proposers, agencies or others <br />The DM and PM shall prepare and distribute an agenda and meeting minutes for each <br />meeting. Meeting minutes shall consist of a written summary report of the general <br />discussions held and list all action items assigned, their associated responsible party, <br />and estimated completion date. <br />General Project Support: The Consultant shall provide support to the Proposers as <br />may be necessary for each Proposer to accomplish its required objectives. Appendix A <br />lists project critical objectives for which each Proposer is responsible. <br />Reporting Requirements: The PM shall provide monthly status reports and monthly <br />billings. <br />Records: The Consultant shall maintain appropriate and adequate records of all <br />aspects of the project for which it is responsible. At the conclusion of the project, the <br />Consultant will provide copies of its records to the District. <br />RFP Lake San Cristobal Project <br />Page 3 of 15 <br />
