~ ~~ <br />products that may be identified in the deliverables provided by the Contractor in other tasks <br />throughout this scope of work. <br />99.2 Modify and Maintain GIS Tools. Modify ArcC;DSS to accommodate State requirements during <br />Phase 3 and update the associated documentation. <br />Based on results of the System Integration Contractor's recommendations, and through meetings and <br />discussion with the State, the recommended State]MS upgrade features will be defined. These are <br />likely to include a thinner client, larger map, map tips, pop-up windows, and metadata for statewide <br />layers. Prepare a brief requirements document for approval by the State. Redesign StateIMS as <br />necessary to incorporate the defined requirements, implement and test the features. <br />Deliverables: <br />99.1 Updated GIS databases and specific GIS applications for the State and other contractors. <br />99.2 Upgraded ArcCDSS tools and related documentation. <br />99.2 A requirements document for upgrading features of ArcIMS to be reviewed and approved by the <br />State. Upgraded and functioning ArcIMS applications with updated user and administration <br />manuals. <br />Task 101, 102 and 103 -Coordination and Project Management <br />Objective: <br />Promote communications and technical exchange among the Consultant, State, water users and other <br />SPDSS consultants; track work accomplished, maintain budget and schedule;. and, regularly report the <br />status of work activities. <br />Approach: <br />Task 101. Advisory Meetings. Prepare for and participate in two (2) bi-annual advisory meetings for. <br />Phase 3. Prepare for and participate in one technical advisory committee meeting specific to GIS and <br />irrigated lands assessment during Phase 3. <br />Task 102. SPDSS Coordination. Schedule regular acid as-needed meetings and/or conference calls to <br />communicate with State and other consultants about data needs, results, issues, progress, etc., during <br />SPDSS development. Anticipated are 2 hours of coordination activities per week during Phase 3. <br />Task 103. Project Management. Prepare and present to the State 12 monthly progress reports during <br />Phase 1 and 2 that include the following three components: <br />• A Work Activity Description that describes work accomplished each month and percent <br />complete for each Subtask presented in the bud€;et. <br />• A Task Summary that describes the budget, costs to date, percent spent, percent complete, <br />estimated cost to complete, and surplus or shortage. This report will identify areas whenever the <br />percent complete is less than or more than the percent spent. <br />• A Project Summary that describes technical, budget and schedule concerns for the project. <br />Prepare monthly invoices corresponding to activities described in .the progress reports. Include <br />billing by person, rate, hours, and charge. Include a description of other direct costs and a summary <br />of the status of the budget retainage. <br />iD <br />
