MEMO -TASK 91, APPENDIX C <br />C.4. Post Meeting Telephone Contact <br />Post telephone contacts were made to ditch company personnel to clarify notes on maps, receive <br />additional information not collected during irrigation meetings, and to schedule final irrigation meetings. <br />Notes taken from telephone contacts were recorded in the Ditch Company Contact Database. <br />C.S. Final Review Letter <br />Final review letters were mailed to each ditch company that participated in the initial review and <br />verification process. The letter informed the ditch company of completing the edits of the first meeting <br />and requested a final irrigation meeting with RTi during atwo-day workshop. Large ditch companies <br />were contacted directly so the final review letter was not mailed to them. There were 120 letters mailed <br />between September 20, 2004 and February 2006. <br />C.6. Final Irrigation Meeting <br />The final irrigation meeting was conducted during atwo-day workshop in each water district. Water <br />commissioners were also invited to attend these workshops, and if unable to attend were met with <br />separately. Large ditch companies were met with individually. <br />Edits made to the maps from the initial meetings were checked for QAQC. Ditch company personnel <br />were asked to review the maps and ensure that they met with their expectations. Any remaining questions <br />about irrigated parcels or service areas were resolved at this time. The water commissioners also <br />reviewed the maps during this process and provided input. <br />C.7. Follow-up Edits <br />Edits to the irrigated parcels and irrigation service areas were performed after both the first irrigation <br />meeting and the final irrigation meeting. Follow-up edits were based on notes written on the maps and <br />documented in the Ditch Company Contact Database. A brief explanation of the follow-up edits was also <br />recorded in the database. Any confusion or contradictions in the meeting notes were addressed at this <br />time and resolved. <br />C.8. Completed Ditch Company Review <br />After the meetings and follow-up edits were completed, an internal final QAQC was conducted using the <br />activities from the database, the notes on the prepared maps, and the working version of the map.
