Individual contacts with interested individuals and entities, to secure their <br />permission to contact and update them on SBC study effort progress. The initial <br />contact will serve to personally notify interested members of the public on how to <br />secure information about the SBC study effort and to make inquiries and offer <br />information to the SBC study effort. <br /> <br />4. Development of a Public Involvement database, incorporating all stakeholders and <br />members of the public willing to be contacted and updated during the course of the <br />SBC study effort. ACT! contact management software will facilitate tracking of <br />interested individuals and organizations and logging of all contacts. It also offers <br />the ability to search the database on topics that become significant during the entire <br />course of the SBC study effort. <br /> <br />5. An initial public meeting to be held within the first month of the SBC study effort, to <br />secure input as to the types of information and study effort activities that would be <br />seen by the public as appropriately addressing their expressed concerns. This will <br />also be a critical opportunity to convey the SBC study content from a technical <br />perspective - what it involves and should produce as well as what this study effort <br />is not designed to produce. At this meeting also, the timing of subsequent public <br />meetings should be discussed, to assure that subsequent meetings will be viewed <br />as adequate and appropriate by both members of the public, members of the study <br />effort work team, and the City of Boulder. ~o ~~~u.d- ~ <br /> <br />6. Subsequent meeting should be held at least every 6months, to insure that <br />members of the public feel they have the opportunity to be kept current on the SBC <br />study effort. Public meetings will also be scheduled to present draft study results <br />for public input prior to the time they are presented to the City of Boulder. An ideal <br />location to hold public meetings is the East Boulder Recreation Center on the <br />senior side. <br /> <br />7. Monthly updates as to the work of the study and any other information deemed <br />pertinent from the perspective of the study team and the City of Boulder. This <br />monthly update can be tailored to incorporate public involvement and public <br />information dissemination needs of any other entities (Boulder County, CU, Urban <br />Drainage and Flood Control District, Colorado Water Conservation Board (WCB), <br />and the Federal Emergency Management Agency (FEMA) who may assume a role <br />in the SBC study effort. Each update will be archived for ready access at both the <br />public involvement office and on the Internet via the City's website. <br /> <br />8. Provision of usable information concerning the conduct and progress of the SBC <br />study effort and the public meetings to local media, other interested jurisdictions, <br />and organizations. Regularly updated displays, newsletter articles, and other <br />means of providing information about the SBC study effort will help to enlarge the <br />knowledgeable and interested groups of individuals. Overtures will be made to <br />area churches, residential complexes, Meadows Shopping Center, Meadows <br />branch library, schools, service clubs, office complexes, neighborhood and <br />homeowner associations, local business and residential property insurers, etc. to <br />solicit their willingness to be kept abreast of the SBC study effort. <br /> <br />9. Making available and understandable the Resource Atlas and GIS-based materials. <br />Both hard-copy and internet-accessible versions for public perusal are essential, as <br /> <br />27 <br />
