Miller, Steve
From: Maul, Susan
Sent: Friday, December 12, 2003 9:10 AM
To: Alvarado, Ray; Prichard, Vince; Brown, Rick; Miller, Steve; Fritz, Carolyn; Moore, Andy;
Garrison, Michelle; Seaholm, Randy
Subject: Admin Meeting Notes - some action items included!
Here are my notes on yesterday's Admin meeting. Vince and Carolyn... if I read my chicken scratches incorrectly, please
don't hesitate to let me (and the group) know! Thanks!
Note that item #11 has a very short deadline!
Admin Team Notes Dec 11th, 2003
2. Christmas party next Thursday - cash bar t 5 pm, dinner at 5, get your meal reservations in to
Catherine by COB Friday the 12th. We have a private room at Simms Landing so we can do the
white elephant exchange ($10 - 15 value item)
We are down to 2 vehicles ... so we will need to make sure we don't double book when we make
reservations -.make sure you check to see if someone is entered at the top of the reservation page ... if
they don't mark it as "busy" it doesn't always show up on the calendar page, so at first glance it
looks like the vehicle is free.
4. The vacated parking spaces that we're still under contract for will be used as incentive awards. Dan
McA would like to know who would be interested in receiving a free parking space for a couple of
weeks (if you already have a paid parking space, or always to ride the bus in, a parking space might
not be useful to you). Dan will be putting out some sort of info on this soon.
Eco -pass - The contract has been signed, we should be getting our 2004 stickers soon....check your
state ID to make sure it isn't expiring. See Tammy or Tina for a state ID form if you need a new one.
(Once the Ecopass is stuck on, it's mighty hard to get off!)
6. IT Update - Vince reported that IT consolidation plan resulting from the CMP is moving forward. 5
committees have been formed, and some centralization of personnel should occur about July. Bob
Feingold has been hired by contract to be the Co -CIO with Jeff Sanders. Every agency will be
affected except CWCB, as Rod has agreed with ITS that no CWCB FTE will be moved. We are
looking at the idea of a service level agreement where no we don't pay unless we receive actual
service.
7. Dan reported that the idea of moving everyone back together to 1313 Sherman as part of the "virtual
consolidation" is no longer being discussed and is believed to be a dead deal.
8. Mid -Term evaluation time is upon us and we all need to check our work plans (we DO all have
them, right ?) and update them if necessary. Dan said that if you did major time working on the CMP
you can/should add that. Workplans that I know of are all on the L drive in Section D /Admin/ in the
PDQ & Workplan subfile. Let me know if I can help with the editing work.
9. Succession Planning - Sr. Staff who are planning to retire in the next few years are meeting next
Tuesday to discuss how to keep our work flowing when this happens. (Dan said that during this
meeting, some ideas of section re- organization will also be discussed, but did not give any details).
He also reported that in the next 10 years we will probably have some folks retiring each year, and he
