CRDSS <br />TASK MEMORANDUM 1.05-10 <br />Study of System Integration Issues <br />Documentation - Electronic Distribution of Documents <br />1.0 ISSUE <br />Due to the size of the CRDSS project and the projected timeline for CRDSS development, a great <br />deal of information will be tracked and distributed during the life of the project. Task Memorandum <br />1.05-1 describes the information that will be available in the Briefing Room. However, many <br />internal documents will also need to be available to users. A large amount of this information will be <br />available in electronic form (e.g., task memoranda). Consequently, to limit the amount of time and <br />resources that are spent distributing copies of such documents, it may be useful to archive documents <br />on one of the CRDSS workstations for electronic access by project team members. To do so, the <br />following preliminary issues must be resolved: <br />If implemented, what information will be available for electronic distribution and what will <br />? <br />be the format of the information? <br />If implemented, where will the information reside? <br />? <br />If implemented, how will the information be distributed? <br />? <br />2.0 DISCUSSION/ANALYSIS <br />Information that can be made available in electronic form should consist of any useful documents <br />that are revised periodically and which may be of use to CRDSS team members. Examples are task <br />memoranda, address and E-mail lists, organizational charts. All team members have access to the <br />Internet and could therefore access the information electronically rather than having to request that a <br />hard-copy be printed and mailed/Faxed. <br />Documents could be stored in a common CRDSS directory (e.g., /crdss/doc/internal or <br />/crdss/doc/pub). The documents could be stored in native format (e.g., WordPerfect), and also in <br />convenient forms like PostScript and text. <br />An index of all available documents could be kept current so that developers can browse the <br />information listing. Additionally, the index could list hard-copy items that can be requested from <br />RTi, CSU, or the State. <br />Documents could be distributed by automated E-mail, anonymous FTP (see Task Memorandum <br />1.05-19), or simple file copies if the directory location is available using NFS. Automated E-mail <br />distribution from the CRDSS workstations has been tested to a limited extent by RTi. To receive <br />documents automatically, users would mail a message to an account like "crdss-info".
