<br />also shot a Public Service Announcement. The PSA begins airing on DC-8 April 16, and <br />will continue in heavy rotation on the public access television station throughout the <br />growing season. The in-house production staff wrote the copy for the PSA, and I spoke <br />those words into the camera lens. <br /> <br />Don, Wendy, and I met to discuss coordination of communications with the timing of the <br />feedback loop. I also brought our new communications professional from Castle Pines <br />North Metro District, so that he can coordinate this effort with our water conversation plan <br />communications effort. Several newsletter articles have touted the distribution in Castle <br />Pines North, as well as a statement stuffer for the water bills to our residents. Wendy <br />shared input from the water providers on suggestions for a more effective feedback loop. <br />(She took me to coffee on a Saturday, where we brainstormed on how to make this part <br />of the effort really work. I told her we really wanted to be successful with it, she was the <br />pro, and help, please!) I have sent several notes to Don, and we are planning to meet for <br />coffee to update news on his efforts, though we didn't get to that this week. Again, I <br />advised him of the production schedule so that he could plan his efforts accordingly. I will <br />stay after him. <br /> <br />We hit two minor snags, and that threw us off our schedule. The first was with getting the <br />written approval to use the "Xeriscape" name, while the second was in obtaining a written <br />release on the background music used in the program. These two delays that blew us off <br />course for fourteen business days from the March 17th in-the-mail target date to the <br />actual April 5th in-the-mail date. Everything else has actually clocked along quite nicely. <br /> <br />Numerous proofs and approvals went back and forth between DCWRA and the vendor to <br />make sure we got the quality we were looking for. I reviewed the materials, and it looks <br />very good to my eye. We just received a satisfaction survey from the vendor this <br />afternoon. I gave them high marks, and would recommend Disc Makers to you or <br />anyone else needing a large duplication job done. One file of Arapahoe County <br />addresses listed both the residence, and the location of the owner. We had to direct the <br />vendor as to which address to use. One file did not list a zip code for two hundred <br />homes, and the appropriate zip code had to be furnished. <br /> <br />The actual number of DVDs to be duplicated did increase. We received orders for <br />additional DVDs from DCWRA members who want to use the DVDs for new residents, or <br />other promotional purposes. We were happy to pass along the advantageous pricing <br />from the bulk order, but explained to those ordering these extra units that no costs were <br />to be covered by the grant. Not surprisingly, both Arapahoe and Douglas County grew <br />between the time we applied for the grant, and the time the grant was approved. <br />Douglas County picked up the cost for the new residents in the County, and the <br />respective water providers in Arapahoe County picked up the cost for their new <br />residents. I will be sending out invoices for their shares in the next few days. We sent <br />the extra copies by regular freight. I expect them to show up in a week or two, and when <br />they do, we'll drive the copies for the CWCB and CFWE down to your offices. <br /> <br />Douglas County was helpful in issuing a P.O. to the vendor so that work could be initiated <br />on the project. This P.O. precluded DCWRA from having to write a check for 500/0 of the <br />cost of the order up front. The vendor usually has an overage clause so that unless the <br />500/0 payment is made up front, the client must buy any extra overages. Due to the size <br />of the order, the vendor waived this condition. The Douglas County in-house production <br />staff issued the logo for the DVD is "full color" rather than "four color" format as stipulated <br />in the agreement. This resulted in a $25 upcharge, as well as a much more attractive <br />finished project.
