Long <br />Division Director <br />The Division is initiating a significant change in the way that permitting documents, reports, and related <br />correspondence is handled. All documents received or issued by the Division will be electronically imaged <br />and digitally filed. In the Coal Program, a "hazd copy" of the permit application package for each <br />operation will be maintained by individual environmental protection specialists, but the electronic permit <br />package and file will be the primary file available for use by operators and the general public, as well as <br />DMG staff. <br />All document imaging will be done at the Denver office. To ensure that this process is implemented as <br />consistently and efficiently as possible, we aze requesting that you make the following changes regazding <br />submittal of information to the Division. <br />For revision applications, bond release applications, permit transfer applications and similaz <br />applications or requests, please submit two sets tome, at the Grand Junction DMG office, and one set <br />to our Denver office, addressed to Division of Minerals and Geology, DanMathews, 1313 Sherman <br />Street, Room 215, Denver, CO 80203. Adequacy responses and other corzespondence should be <br />handled the same as initial submittals; one set to Denver and two sets to me m Grand Junction. At the <br />conclusion ofthe review process, once the Division's decision is fmal,please prepare and submit <br />one set of approved replacement pages, figures, maps, etc., to the Denver office, with a copy of <br />the cover letter to mein Grand Junction. In essence, you should follow the same procedwes with <br />respect to submittal of revision materials to our Denver office that you should be following for the <br />BLM resource area office. <br />• Please submit one set of all routine, periodic submittals, including annual, quarterly, and monthly <br />reports and certifications, to the Denver office, with a copy of the cover letter to me in Grand Junction. <br />
