SAMPLE HANDLING AND DOCUMENTATION
This section presents the requirements for handling, labeling, and transport of water samples
and field recording practices necessary for reconstruction of the sampling event.
SAMPLE DOCUMENTATION
Information pertinent to the sampling effort will be recorded on the Liquid Substance Sampling
Forms (Figure A-1). Any pertinent information that is not included on this form will be
documented in a bound field logbook. All entries will be made in indelible ink and all
corrections will follow error correction protocol of one line through the error and initial and
date of correction.
At a minimum, entries on the field records shall include the following:
• Purpose of sampling
• Location, description, and available photographs of the sampling point
• Details of the sampling site (for example, condition of station, weather, etc.)
• Documentation of procedures for preparation of reagents or supplies which become an
integral part of the sample (e.g., filters and preservatives)
• Identification of sampling crew members
• Type of sample (e.g., ground water, surface water, soil, etc.)
• Number and volume of sample taken
• Sampling methodology
• Sample preservation
• Date and time of collection
• Collector's sample identification number(s)
• References such as maps of the sampling site
• Field observations
• Any field measurements made (e.g., pH, specific conductance, temperature and water
depth)
• Date and signature of the personnel responsible for observations
• Decontamination procedures
Sampling situations vary widely. No general rules can specify the extent of information that
must be recorded. However, records shall contain sufficient information so that someone can
reconstruct the sampling activity without relying on the collector's memory. The field records
shall be kept under strict chain-of-custody and stored in a location so as to make it accessible
to the project QA Coordinator.
