A field notebook <br /> is admissible in court as a legal document. Remember that people outside of Pinyon may one day see this <br /> book. It is important that notes be concise, readable, unambiguous, complete, and objective. <br /> 2.0 Procedure <br /> The following considerations and procedures should be used when recording information: <br /> The field book can be either physical (field sheets or bound) or electronic. A central storage location will be <br /> chosen by the project manager and made known to all parties working on the project. Electronic versions <br /> should be kept in the electronic project file on the server. Physical field books should be kept with the project <br /> manager when not in use. Individual field books can be used but the entries that pertain to the project must be <br /> hand-copied or scanned and included with the main physical or electronic field book. If a physical book is kept, <br /> the pages will be pre-numbered in order to prevent loss or removal of pages, which will preserve the legal <br /> credibility of the field notebook. <br /> I. Note the project name, project number, and dates of activity on the front outside cover with waterproof <br /> marker. The project number should also be written on the spine of hard-bound books. This same <br /> information must be recorded in the electronic version if an electronic version is kept. <br /> 2. Once field work or a project is completed, physical field books should be scanned and permanently filed <br /> electronically in the project file on the server. Electronic field books should be moved to the project file <br /> on the server. <br /> 3. For physical books,write with waterproof ink only. <br /> 4. Consider using the first few pages of the notebook as an index for the rest of the book on larger and more <br /> complex jobs. Consider an index of data that will be referenced often in other tasks or in reports, and <br /> which needs to be retrieved efficiently. <br /> Field Notebook <br /> December 22, 2022 <br /> Page I of 3 <br />
