<br />, <br /> <br />Your annual reports should strictly follow the revised format shown in Attachment 2. Please <br />read the explanation the type of information requested in each section of the report carefully -- it <br />is intended to provide guidance to enable you to submit complete, professional and polished <br />reports. <br /> <br />In light ofFY 98 revisions to the report format as well as problems with annual reports received <br />in previous years, I would like to specifically remind you: <br /> <br />In Section III, to include a brief, easily-understood summary paragraph that will be used in <br />preparing the Program's FY 98 Annual Summary Report. In this section, you should <br />briefly summarize results to date, not just the project objectives. <br /> <br />In Section V, "Relationship to RIPRAP" to list the task number(s) and title(s) of RIP RAP <br />actions corresponding to your project. (You should have a copy of the revised RIPRAP <br />dated March 6, 1998.) <br /> <br />That a discussion of initial findings is required in Section VI of the report. <br /> <br />That the "Recommendations" section (Section VII) specifically requests any <br />recommendations for RIPRAP revisions and FY 2000 Program Guidance. <br /> <br />That if the project is scheduled to continue through FY 2000, you are asked to provide an <br />assessment of whether it should be considered on-track and ongoing in Section VIII. <br /> <br />**In new Section IX. D., if your project was funded by the Bureau of Reclamation, to <br />report the status of work accomplishment in terms ofthe percent of the work completed, <br />and the projected costs to complete any remaining work. This information (and an <br />accurate reporting of funds expended in Section IX.B) is absolutely necessary so that any <br />surplus funds can be identified. This section will help Reclamation ensure timely billing <br />by agencies and contractors and will free up unliquidated funding obligations. If you do <br />not report this information, Reclamation may consider all of your unliquidated obligations <br />to be surplus and may de-obligate them or deduct them from your FY 99 fund transfer. <br /> <br />In Section IX. E. (a new item added last year), to note Recovery Program funds spent on <br />publication charges (even ifit's $0.) <br /> <br />That in Section x., status of data submission, "on track" is not an acceptable response. <br />Instead, please indicate "not applicable," "data submitted on (date)," or <br />"submission pending completion of data collection, expected (date)." <br /> <br />In the Signature section, XI, to please insert your name as your "electronic signature." <br /> <br />To remember to number your pages. <br />
