<br />000462 <br /> <br />e <br /> <br />Minerals Section (5 FTEs). This section issues and monitors about 1600 active <br />mineral leases on about 4,000,000 acres of mineral lands. All functions, <br />including field inspections, are performed by Denver staff. These include holding <br />lease auctions and selling leases to oil and gas companies, etc; processing <br />paperwork and issuing leases; accounting and auditing royalties on mineral <br />production; and field inspections of production facilities for quality control in <br />royalty measurement. <br /> <br />Accountino. These are backed up at a department level and <br />they do not require imaging. They do need archiving capability for "payment <br />out" receipts and for general correspondence that might be kept in paper files. <br /> <br />Archivina Records. All sections perform this general function. Records are kept <br />in old plat and tract books, on microfilm, and in state archives. They include <br />thousands of file folders that track and document active leases and keep such <br />documents as field reports and correspondence. <br /> <br />e <br /> <br />Document Access Requirements <br />The land Board is legally mandated to retain documents in a public manner. Due <br />to space constraints documents are split between the land Board offices and the <br />Division of State Archives. Customers .who need documents not available in the <br />Land Board offices must go to another floor and visit DSA. Resolution of present <br />day issues usually requires reference to these historical documents. In addition to <br />land Board public room, where approximately a dozen people per day use the <br />records, land Board staff respond to over 100 monthly telephone queries about <br />titles and patentns older than ten years.
